Job Summary:
Under the direct supervision of the Maintenance Manager this position provides administrative and clerical support. In addition to typing, filing and scheduling, performs duties such as processing work orders, ordering parts, parts deliveries, maintaining shop supplies, and other administrative duties to support the Division.
Minimum Qualifications:
• High school diploma or its equivalent. • Proficient computer and math skills with strong data entry skills • Proficient in MS Office (Word, Excel, Outlook). Strong MS Excel Proficiency • Communication skills and positive interactions with a variety of customers (internal and external) and vendors required. • Valid State of Hawaii driver’s license, Class 3 or higher to be able to operate an automobile or SUV. Acceptable driving record. • Must submit and pass a drug screening and security background check.
Preferred Qualifications
• Three to five years of administrative assistant and or clerking experience. • Experience in Maintenance Management and Purchasing • Experience for construction materials or manufacturing industry. • Experience using JDE, spreadsheet servers, BI, Kronos.
Additional Requirements
• Promotes company’s Purpose, Mission and Vision statements. • Organizes and maintains files for Maintenance Department to include but not limited to personnel files, Toolbox and Environmental reports, Work Orders, Equipment Pre-Checks, Purchasing, MSHA training, Equipment Task Training, and Division Accident and Environmental Records. • Prepare New Miner and Site-Specific Safety orientation materials and assist with orientation(s). • Maintains Department Time and Attendance records, including input of daily and weekly timecard(s) information into Time and Attendance program. • Enters and makes updates to Maintenance Work Orders into the computer system. • Compile and organize equipment deficiencies from daily pre-execution checks. • Takes part in the Inventory Control and Cycle Counting programs. • Produces Department meeting minutes. • Participate in Division safety training program. • Picks up, sorts and delivers incoming Department mail and correspondence. • Coordinates Department personnel travel, office supplies and PPE Safety requirements. • Serves as backup for processing daily billing for Division on the POS and Financial systems. • Conducts drug and alcohol tests. • Ensures mobile equipment registrations, safety checks and insurance documents are timely processed and issued. • Processes parts deliveries. • Regular phone interactions, email and computer application work. • Adheres to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team. • Always works safely and takes action to prevent any and all unsafe actions, processes and behaviors. Ensures company safety goals are achieved and be a role model of company safety and environmental policies, procedures and behaviors. • Performs other duties as assigned.
Key Skills & Competencies
• Excellent verbal and written communication skills. • Strong organizational skills. • Proficient working knowledge of MS Office (Word, Excel and Outlook) and able to learn additional required software programs. • Proficient in POS and Company Financial System Billing tools. • Proficient in Company Payroll Timecard tools – e.g. JDE/UKG. • Able to meet tight project deadlines while maintaining quality results. • Utilization of company computer, various software programs and other office equipment. Use of IT products to manage deadlines, communicate with others, and develop spreadsheets (e.g. EXCEL). • Use of company IT programs to manage work orders and other assigned tasks. • Ability to handle multiple priorities with short deadlines while maintaining quality results. • Able to work outside normal M-F hours (e.g. weekends) as required. • Attendance in accordance with Company policies required. • Able to work in varying environments including main offices, office trailers, batch plants, jobsites, etc. • Responsible, self-starter with good work ethic. • Able to work independently with minimal supervision. • Must be able to work in a non-smoking workplace.
